What the ATS actually does
An applicant tracking system stores your resume, parses it into fields (jobs, dates, skills), and lets recruiters search and rank by keyword match against the posting. It rarely “rejects” anyone by itself — it simply makes unmatched resumes invisible. Your job is to be findable for the work you can genuinely do.
Finding the keywords in any posting
Copy the posting into a document and highlight three things: the exact job title, every tool, platform and certification named, and the skills repeated more than once. Repetition is the employer's tell: a skill mentioned three times is a screening term. Also note the verbs of the role (“reconcile”, “triage”, “forecast”) — recruiters search nouns, but strong bullets speak the role's language.
Placing keywords so they work
Title: put the posting's title under your name if it truthfully matches your target (your current title can follow in experience). Skills section: list the matching tools and skills plainly, one per item — this section is the ATS's favorite hunting ground. Bullets: weave top skills into results bullets (“Reconciled accounts in QuickBooks for 40+ clients”), which satisfies both the software and the human who reads next. Both forms: where a term has an acronym and a long form (SEO / search engine optimization, RN / registered nurse), use both once.
The honesty line — and why it protects you
Only claim skills you can discuss in an interview. Keyword stuffing (white text, copied posting paragraphs, skills you do not have) is detected by recruiters in seconds at interview stage and converts a maybe into a permanent no. The legitimate version of this strategy is translation, not invention: your experience already contains more of the posting's language than your first-draft resume shows.
Format rules the parser needs
Single column, standard headings (Experience, Education, Skills), no text in headers/footers, no tables or text boxes for key content, common fonts, and PDF unless the posting demands Word. Fancy two-column templates are the number-one cause of garbled parses — the free builder at resumebuilder.umarixtech.com is deliberately ATS-safe in this respect.
